In our ongoing effort to enhance the booking management experience for hotels, Hotel Link is proud to announce the Improved Expedia Booking Management, designed to make synchronization with Expedia faster, more accurate, and more reliable than ever before. This update not only minimizes delays in receiving booking data and modifications from Expedia, but also introduces new features such as Payment Instruction and Report An Issue, empowering hotels to manage operations with greater transparency and efficiency. The rollout is expected to begin at the end of October, depending on each hotel’s connection status with Expedia.

Faster, More Stable Expedia Booking Synchronization

One of the most common challenges hotels face is the delay in receiving or updating booking information from Expedia - an issue that can impact room availability control and operational accuracy.

With this update, the Hotel Link system can now receive and synchronize Expedia booking data almost in real time, helping hotels:

  • Reduce delays in receiving new bookings - Expedia reservations will appear faster within the Hotel Link system.

  • Automatically sync changes such as date modifications, room upgrades, or cancellations.

  • Enhance connection stability between the two systems - minimizing sync errors or interruptions.

As a result, hotels can monitor reservations instantly, reduce overbooking risks, and ensure smoother operations.

Payment Instruction – Clearer Commission and Payment Information

A key highlight of this update is the Payment Instruction feature, which helps hotels manage Expedia payment details with greater accuracy and transparency.

Each Expedia booking now includes clear commission and payment details directly within the Hotel Link system, such as:

  • Specific commission percentage for each booking.

  • Payment method (Expedia Collect or Hotel Collect).

  • Related fees and taxes (if applicable).

This allows the accounting or revenue management teams to reconcile and track payments easily while ensuring transparency across all transactions.

Integrating Payment Instructions directly into the booking interface also saves time spent searching for information, reduces manual errors, and enhances operational consistency among hotel departments.

Report An Issue – Faster and More Accurate Problem Reporting to Expedia

Similar to Booking.com reservations, Expedia bookings are now also integrated with the “Report An Issue” feature directly within the Hotel Link system.

This feature allows hotels to proactively report and resolve issues related to Expedia bookings right from the Extranet - making collaboration with Expedia faster, more transparent, and more efficient.

Before Check-in

For bookings that have not yet reached the check-in date, hotels can only perform the Cancel Booking action.

Note: Cancellations must be made before or on the check-in date, but no later than 11:59 PM (hotel’s local time) on the arrival date.

After Check-in

Once the check-in date has passed, hotels can use the Report An Issue function to report booking-related problems to Expedia.
Depending on the booking type, different reporting options will be available:

  • Guest Requested Cancel: Cancel the booking upon the guest’s request, with options to specify the cancellation reason and penalty fee (if applicable).

  • Modify Date: Change the check-out date and select a reason (available for Expedia Collect bookings).

  • Modify Date & Amount: Adjust both the check-out date and nightly rate (available for Hotel Collect bookings).

  • No Show: Report a guest who did not check in and cancel the booking accordingly.

  • Refund: Process a refund for the guest and specify the appropriate refund reason.

Each issue type comes with detailed on-screen guidance displayed as a pop-up, making it easy for staff to follow the correct steps and avoid mistakes.

💡 Notes

  • Once a booking has been successfully reported, the system will not allow duplicate issue submissions for the same reservation.

  • After Expedia updates the booking information, hotels should save and refresh the page to view the latest results. 

With this improvement, handling cases such as no-shows, date modifications, or refund requests becomes more proactive and transparent than ever. Hotels can now save time, reduce errors, and maintain smooth, efficient operations.
